Guidelines for the Usage of Researchers’ Rooms by Overseas Visiting Research Fellows

(Objectives)
Article 1. The usage of researchers’ rooms by overseas visiting research fellows who are engaged in educational research (hereinafter referred to as the “researchers”) in the Hokkaido University Faculty of Engineering (hereinafter referred to as the “Faculty”) shall be as prescribed in these guidelines.

(Eligible persons)
Article 2. Researchers who are eligible to use researchers’ rooms shall be those prescribed in the following items and who will stay at the Faculty for at least 1 month. However, if there are any vacant researchers’ rooms, permission to use them may be granted even for periods of less than a month.

  • (1) Overseas researchers invited under the systems of the Ministry of Education, Culture, Sports, Science and Technology, the Japan Society for the Promotion of Science, the International Exchange Fund of the School, and the like.
  • (2) Overseas visiting research fellows pursuant to the Guidelines for the Acceptance of Overseas Visiting Research Fellows by the Faculty.
  • (3) Persons who are regarded as equivalent to those in the preceding items by the Dean of the Faculty.

(Application and permission)
Article 3. Academic staff in charge of hiring and accepting researchers (including rehired special academic staff; the same applies below.) who wish to reserve research rooms shall submit acceptance plans, using the attached Form 1, to the Dean of the Faculty by the 20th of March, July or November every year.
2. When the visitation of the researchers in the preceding paragraph has been decided, academic staff in charge of hiring and accepting researchers shall submit an application for permission to use research rooms, using the attached Form 2, to the Dean of the Faculty.
3. Academic staff in charge of hiring and accepting researchers who wish to change the period of use shall submit an application for changes to the period of use, using the attached Form 3, to the Dean of the Faculty.
4. The Dean of the Faculty shall, when granting permission to use research rooms or change the period of use, issue a permit using the attached Form 4.

(Restrictions on use)
Article 4. When researchers fall under any of the following items, the Dean of the Faculty may cancel the permission to use researchers’ rooms.

  • (1) When the researchers who have gained permission to use researchers’ rooms do not start to use researchers’ rooms within a week from the designated usage start date; and
  • (2) When the behavior of researchers who have gained permission to use researchers rooms hinders the maintenance and management of researchers rooms.

(Administrative work)
Article 5. Administrative work regarding the usage of researchers’ rooms will be managed by the International Affairs Office.

Supplementary Notes

  1. These guidelines will come into effect from April 9, 2010 and apply from April 1, 2010.
  2. Guidelines for the Usage of Researchers’ Rooms by Overseas Visiting Research Fellows in the Hokkaido University Faculty and Graduate School of Engineering will be abolished.
